ClickUp Dashboard Math: Add and Subtract Numbers It Can't Normally Do.

ClickUp dashboard maths gets awkward when you want to show what is left, not just what has been booked. You cannot simply ask one dashboard card to subtract another. But you can put the numbers into your task data and have a card sum them.
I built this for an events team of more than 25 people who needed to see live VIP table availability during a festival weekend. They had 44 tables to sell. Once three were booked, the dashboard needed to show 41 left.
Here are two ways to make that work.
Option 1: Use a formula field
Create a helper task for the event and put -44 in a number field, such as Tables. Each booking task gets 1 in that same field.
Then create a formula field that calculates 0 - Tables. On the helper task, that turns -44 into 44. On each one-table booking, it turns 1 into -1.
When the dashboard sums the formula field, the result is:
44 - 1 - 1 - 1 = 41
That gives you the number of tables still available. It is a tidy solution when the work lives in one List.
The catch is that ClickUp formulas live on individual Lists. You cannot set the formula once at a Folder or Space level and reuse it everywhere. If you need this across multiple Lists, the formula approach becomes a maintenance job.
Option 2: Put the calculation in the data
For a more reusable setup, use standard number fields and an automation instead of a formula.
1. Create a helper task
Add a task for the event. Check a Helper Task checkbox so you can filter this task out of normal views later. Set its Tables Available number field to 44.
2. Record each booking
On a booking task, set a separate Number of Tables field to 1. An automation watches that field and writes -1 into Tables Available on the booking task.
The helper task contributes 44. Each booking contributes -1. The dashboard adds the values in Tables Available and shows 41.
The dashboard is not subtracting one card from another. It is summing one number field that already contains the starting capacity and the reductions.
3. Keep the helper out of the way
Filter the Helper Task checkbox out of your regular List views and any dashboard cards where the helper should not appear. Keep it included in the calculation card, because its 44 is the starting number the sum needs.
If one booking task can represent several tables, make sure the automation writes an adjustment that matches the quantity booked. Do not subtract only one when the task actually covers more.
Which method should you use?
Use the formula version when you only need this in one List and want the quickest setup. Use the number-field and automation version when you need a setup that is easier to repeat across Lists or want to avoid relying on a List-specific formula.
Neither option is as simple as typing 44 - 3 into a dashboard. That is the limitation. The useful part is that you can still get a live number without keeping a separate spreadsheet or asking someone to update the total by hand.
If you want to see both setups in ClickUp, the video above walks through them. If your own dashboards need to show numbers ClickUp does not calculate natively, get in touch through will@theproductivedad.com, or explore the other practical ClickUp guides on this website.
